JOINERS, MOVERS & LEAVERS
- When someone new joins the company we help ensure they have the devices, software and access they need to hit the ground running!
- If they leave the company or simply just move to a new device, we can ensure everything is taken care of too.
- This is done using our Joiners, Movers & Leavers form, which you can fill in by visiting support.systemsandsmiles.com.
- It's just a few questions that let us know what's happening, so we can make sure everything goes off without a hitch.
- Ideally, we need one weeks notice of these events and we take care of all the logistics delivering and retrieving devices from employees anywhere. 🌍
- We can procure IT equipment in the UK or internationally, delivered direct to the users - or you can arrange procurement internally from the agreed channels if you prefer.
SUPPORT THE SUPPORT
- Sometimes we will ask you to sign off a user request. For example, the purchase of an accessory or to grant additional access or the creation of an email group.
- When users mail in we will sometimes respond with you on CC asking questions, or for approval.
- If a user mails in a request with you on CC, please wait for IT to ask for your approval as we may have questions for the user or the approver before signing off on a request.
- Sometimes we will ask for your support to nudge a user if they’re not helping us out (for example if they’re taking longer than 14 days to update their computer, spring-clean their mailbox storage, or return a device after upgrading to a new one. 🤝
IT SNAPSHOT
- We maintain an up-to-date inventory of your devices, software licenses and data access.
- The idea is to be as transparent as possible and aid business decisions eg. when to plan the replacement of ageing computers and how to keep track of employee data access and software license assignments.
JOINED UP IT
- With your help, we can create an IT Org Chart of your company and detail which software reports to which employee.
- While many items are managed by IT, some are managed by staff. It's good to give us visibility of this so we can direct users to the correct person if they have questions about specific software.
- It helps also to ensure employees are onboarded and off-boarded from all systems across the board.
IT CATCH UP
- We like to catch up for 15 minutes at least once per month. If you can’t make the meeting we can send you a video update or reschedule the meeting.
QUARTERLY BUSINESS REVIEW
- Each quarter we will run through the IT Snapshot to check software licenses, email forwarding, email groups and access is all current.
- We do this to maintain security and ensure you’re not paying for software the team isn’t using.
DEVICE LIFECYCLE
- We keep tabs on device age in the IT Snapshot and will let you know when devices are 12 months away from being retired. ♻️
- Lifecycle is based on the ability to run the latest operating system, typically clients keep computers for 5 years.
- We then have options to trade-in against new hardware purchases or lease deals, you can also donate devices to charity for reuse in schools (we take care of this with our charity partners on your behalf).
COMPLIANCE JOURNEY
- We always aim to balance productivity and security by working within best practice security guidelines, such as Cyber Essentials Plus, ISO 27001 and SOC 2 Type 2.
- We run phishing simulations - when a user is caught out we invite them to do training and you get to see which team members pose the greatest security risk to the business.
- We will invite you to certify for Cyber Essentials to begin your compliance journey and ensure you’re prepared for new challenges and opportunities.
